Privacy Policy
This policy covers the REO AssetFlow web platform and the two REO AssetFlow mobile apps — FieldFlow (for property inspectors and vendors) and AgentFlow(for real-estate agents). All of it is workplace software issued by a brokerage to its own staff and contractors; there is no public sign-up and no consumer account.
Who controls your information
Your brokerage decides what goes into these apps and who inside the office can see it. BMore Professional Services, LLC operates the software on the brokerage’s behalf. If you want your data corrected or removed, start with your brokerage — they administer your account. You can also contact us directly using the details at the bottom of this page and we will route the request.
What we collect, and why
Your name, work email, phone number and job role. You do not create these yourself — your brokerage provisions your account and you receive a setup link. Neither app offers public sign-up.
Stored in our database (Supabase, US region).
Inspection and work-order photos and videos, taken with the in-app camera. Video records audio so you can narrate conditions as you walk a property.
Uploaded to encrypted file storage (Cloudflare R2) and attached to the inspection record for your brokerage and its client.
Read only at the moment you capture an inspection photo, and stamped onto that photo as chain-of-custody evidence that the visit happened at the property. The app does not track you in the background, between captures, or when it is closed.
Stored with the photo it belongs to.
Inspection findings, work-order status, property addresses, assignments, and — in AgentFlow — your transactions, offers, tasks and commission figures.
Stored in our database and visible to your brokerage.
A device identifier issued by Apple (APNs), used to deliver alerts about new assignments, bid invitations and payment confirmations. Created only if you allow notifications.
Stored against your user record; sent to Apple in order to deliver each message.
Standard server request logs — IP address, timestamp, and which screen was requested — kept for security and troubleshooting.
Held by our hosting provider (Vercel) for a rolling retention window.
What we do not do
- We do not track you across other companies' apps or websites, and there is no advertising identifier in either app.
- There is no advertising in either app, and we do not sell or rent your personal information to anyone.
- We do not access your contacts, calendar, call history, messages, health or financial data.
- We do not read your photo library. FieldFlow captures through its own in-app camera.
- We do not use third-party analytics or advertising SDKs.
Who else touches the data
We use a small number of service providers to run the platform. They process data only on our instructions and only to provide their service:
Beyond these, inspection photos and reports are shared with the client your brokerage is working for — typically the mortgage servicer or asset manager who owns the property. That sharing is the purpose of the work, and it is governed by the contract between them and your brokerage.
Systems your brokerage connects
A brokerage can choose to connect REO AssetFlow to its own accounting system. Today that means QuickBooks Online. The connection is optional, it is made by an administrator of the brokerage, and it can be ended at any time from Settings.
- It sends, it does not read. When connected, expense records the brokerage has already entered here — date, amount, payee, category, property reference and memo — are written into that brokerage’s own QuickBooks company so they do not have to be typed twice. We do not read their books, balances, payroll or bank feeds back out.
- No personal information of yours is sent. What goes across is business expense data belonging to the brokerage. Where a vendor or contractor is named on an expense, their name travels with it, exactly as it would if the bookkeeper typed it in by hand.
- Access tokens are encrypted at rest in a dedicated secrets vault, separate from the ordinary database, and are never exposed to a browser or to other users of the brokerage.
- Disconnecting revokes it. Ending the connection revokes our access with Intuit and destroys our copies of the tokens. Records already written to QuickBooks remain in the brokerage’s books, because they are that brokerage’s accounting records, not ours.
Permissions the app asks for
Every permission is requested in context, the first time the feature needs it, and each one can be refused or later revoked in the phone’s Settings. Denying camera or location means an inspection cannot be photographed or stamped; the rest of the app keeps working.
- Camera — to photograph and record property conditions.
- Microphone — audio on inspection videos, so you can narrate.
- Location, while using the app — to stamp the capture point on inspection photos.
- Notifications — new assignments, bid invitations, payment confirmations.
How long we keep it
Work records — inspections, photos, work orders, transactions — are business records belonging to your brokerage and are kept for as long as the brokerage and its clients require, which is typically set by their servicing contracts. When your account is deactivated you lose access immediately; the work you did stays on the record, attributed to you, as any business file would. Photos held on the phone itself are wiped from the app’s local storage when you sign out.
Security
Traffic is encrypted in transit (HTTPS) and files are encrypted at rest. Access inside the platform is enforced at the database level, not just in the interface — an inspector sees only the properties assigned to them and an agent sees only their own transactions. Accounts can be protected with two-factor authentication, and the mobile apps support a biometric lock.
Children
These are workplace apps. They are not directed at children and we do not knowingly collect information from anyone under 18.
Changes
If this policy changes materially we will update the effective date above and notify brokerage administrators. Continued use after a change means the updated policy applies.
